MaintIQ uses Stripe Billing for every payment-related interaction — payment method, invoices, tax IDs, and email recipients. Stripe's hosted portal handles the UI and the PCI compliance, while MaintIQ stays out of the credit-card path entirely.
Open the Stripe portal
- Go to Admin → Billing inside MaintIQ.
- Click Manage subscription.
- A new tab opens at
billing.stripe.com, already authenticated for your account.
Only the account owner (Super Admin) and any user explicitly granted Billing access can open the portal. The button is hidden for everyone else.
Update the payment method
Inside the portal, click Add payment method to add a new card. Set it as default before deleting the old one — Stripe will refuse to delete the only payment method on file.
Failed-payment recovery: if a card declines, Stripe retries automatically over four days. MaintIQ shows a yellow banner across the top of the app during retries, and a red banner if the subscription enters its grace period.
Change the billing email
The billing email receives invoices, receipts, and dunning notices. Update it in Billing information → Email. You can add multiple recipients — many teams add accounts-payable@company.com alongside the owner.
Download invoices
Every invoice MaintIQ has ever issued is in Invoices as a PDF download. PDFs include your tax ID (if set) and your billing address — they are auditor-ready out of the box.
Add a VAT or Tax ID
For teams in the EU, UK, or other jurisdictions that require a tax identifier on invoices:
- In the portal click Billing information → Tax ID.
- Pick your jurisdiction and enter the ID.
- Save. Future invoices include the ID automatically; open invoices are updated retroactively.
Stripe validates the format and (where supported) the ID itself against the regulator's database.
Update the billing address
Useful for region-specific tax handling. Billing information → Address. Changing the country may trigger a VAT recalculation on the next invoice.
Tips
- Keep two valid cards on file. A single expired card has bricked many otherwise-healthy subscriptions during a holiday week.
- Add Accounts Payable as a second billing email so invoices aren't trapped in one personal inbox.
- Pay annually if your finance team prefers a single PO per year and the 15 % discount is meaningful.
FAQ
Can MaintIQ see my credit-card number? No. The card sits in Stripe; MaintIQ stores only a token and the last four digits for display.
Can I pay by ACH or bank transfer? ACH is available on Scale annual plans. Contact sales to enable it.
Where is the SOC 2 / DPA documentation? Available in Admin → Compliance documents for Growth and Scale customers, and on request for Starter.
