Upgrading or downgrading your MaintIQ subscription

Plan changes in MaintIQ go through the Stripe billing portal. The change takes effect immediately, and Stripe handles the proration so you only pay for what you use.

Upgrade your plan

  1. Open Admin → Billing.
  2. Click Manage subscription. MaintIQ opens the Stripe billing portal in a new tab with your account pre-loaded.
  3. Pick the new plan (Starter → Growth or Growth → Scale).
  4. Confirm. Stripe issues an immediate prorated charge for the difference, and the new features are live in MaintIQ within seconds.

You stay on the same billing date — the next full invoice arrives on your usual schedule.

Downgrade your plan

Downgrades are also immediate, but a few things deserve attention:

  • User cap: if your active user count exceeds the new plan's cap, deactivate the extra users in Admin → People first.
  • Facility cap: if you have more Facilities than the new plan allows, archive the extras first.
  • Compliance bundle history: previously generated bundles remain downloadable, but you cannot generate new ones on Starter.
  • Insights window: the Insights date picker collapses to the new plan's window (e.g. 30 days on Starter). Underlying data is not deleted — re-upgrading restores access to the full history.

If you try to downgrade with too many active users or Facilities, the Stripe portal blocks the change and surfaces a list of items to resolve.

Proration in detail

Stripe prorates by the second. Upgrading mid-cycle issues a charge for the unused portion of the new plan minus the unused portion of the old plan. Downgrading issues a credit on the next invoice rather than a refund — credits roll until the balance is consumed.

Switching billing frequency

The billing portal also lets you switch between monthly and annual:

  • Monthly → annual triggers an immediate prorated charge for the remainder of the year at the discounted rate.
  • Annual → monthly takes effect at the end of the current annual term. No early refund is issued.

What does not change

  • Your data — Facilities, tasks, SOPs, history, work orders — is untouched on plan changes.
  • Your custom domain (if any) stays connected.
  • Single sign-on (Scale only) stays configured if you had it. Downgrading off Scale disables SSO; re-upgrading restores the configuration.

FAQ

Can I cancel? Yes, from the Stripe portal. Cancellation takes effect at the end of the current billing period. Your data remains accessible (read-only) for 30 days after cancellation, then archived.

Do you offer refunds? Pro-rata credits on downgrades. No cash refunds on cancellation mid-cycle.

Will my team be notified of a plan change? No automatic email. We recommend posting in your maintenance channel before downgrading so techs know what changes.
