A bare-bones work order ("fix the leak") is hard to action and impossible to audit a year later. Attaching an SOP and at least one photo turns it into a record your insurer, your auditor, and your next-shift technician can all read.
Attaching an SOP
When you create or edit a work order:
- Scroll to the SOP field.
- Start typing — MaintIQ searches your published SOP library.
- Pick the matching procedure.
The SOP appears as a card inside the work order with a one-tap Open button. If the SOP is updated later, the work order automatically references the new version (and history records which version was used at close time).
If no SOP exists yet, click + Create SOP from the same dropdown. MaintIQ opens the SOP editor in a new tab, pre-filled with the work order title.
Attaching photos
There are three ways to add photos:
- Camera — opens the device camera and uploads directly.
- Gallery — picks from your phone or computer.
- Paste — paste a screenshot directly into the notes field on desktop.
We recommend at least one before photo and one after photo on every work order above P3.
Photo annotation
Tap any uploaded photo to open the annotator. You can:
- Draw arrows and circles.
- Add text labels.
- Blur faces or sensitive information.
Annotated photos save as new copies — the original is preserved.
Photo storage and privacy
Photos are stored in MaintIQ's encrypted file storage, scoped to your facility. Only users with access to the facility can view them. Photos are deleted permanently 30 days after a work order is archived, unless your retention policy says otherwise.
